To help SMBs pick the best marketing project management software, our data team and I analyzed 26 platforms and ranked 48 features, which helped identify the top 10 platforms. I then conducted hands-on testing. It was clear that ClickUp, with its robust collaboration tools, task and project management features and affordable pricing, was the best tool for most SMBs. ClickUp is a project management platform that allows leaders to manage every aspect of their campaigns. You can use Kanban boards to manage tasks and pipelines and Gantt charts to plot milestones. ClickUp’s tables help visualize resources and budget information, and ample file storage allows you to upload documents. However, what makes ClickUp shine is its collaboration tools that allow remote teams to create documents, such as marketing plans, in real time. An instant messenger, a whiteboard and an image proofing tool are also present.

I appreciate that ClickUp also supports integrations and automations. In the past, I have used ClickUp to create complex automated cross-platform workflows and recurring tasks that have helped save time. Despite being the best project management software, ClickUp is incredibly affordable. It offers one of the best free plans in the industry, and its plan prices range from $10 to $19 per person (billed monthly). Should you need a plan with extra security features, you can opt for the Enterprise plan.

In general, those who use ClickUp appreciate its robust suite of features, how customizable the platform is, its automation capabilities and its flexibility, which makes it ideal for all project management methodologies and frameworks. Users also appreciate the free plan, but some real-world users have encountered performance issues, difficulties navigating the interface, especially on mobile devices, and bugs. Some users also note issues with billing and customer support, which I have never encountered.

Overall, ClickUp is a platform that most project teams will be able to get to grips with quickly. While bland, the interface is easy to navigate thanks to well-placed menus, and all the tools feature a silky drag-and-drop mechanic. Adding tasks and all pertinent information takes no time, and even creating automations is straightforward. The only tool that will pose a problem is the mind maps, which can take some getting used to. Unfortunately, I find ClickUp’s mobile apps to be lacking as they omit several views, but they’re still functional and will serve teams well.

I have recommended Monday.com to small to medium-sized businesses that are unfamiliar with project management software for years. The software’s beautiful design and intuitive task and project management tools are a delight to use. Whether you’re using boards, lists, Gantt charts or calendars, everything needed to create marketing workflows and social media planners is at your fingertips. It’s Monday.com’s templates for marketing and beyond that make the platform ideal for beginners, though. In minutes, you can be entering campaign tasks and data.

Like ClickUp, Monday.com offers reporting dashboards, collaborative docs and whiteboards so teams can analyze data, work together and brainstorm ideas. Unfortunately, Monday.com does not have a native proofing tool, but does offer an integration with PageProof and other third-party platforms. Users can also create workflow automations, too. Regarding pricing, Monday.com offers a poor free plan and the $12 per person Basic plan offers no value. However, at $14 and $24 per person (billed monthly), the Standard and Pro plans offer great value.

Looking at user reviews, it appears that users of Monday.com have mixed feelings about the platform, with many raving about the software’s intuitive design, strong collaboration features and flexibility, while others have issues with the pricing model and customer support. I agree that Monday.com’s pricing model isn’t the best, especially when it comes to the Basic plan, but overall, it is fine. The complaints about customer service are strange to me, as I have never received anything but outstanding support. It appears your mileage may vary with Monday.com.

Teams will have no problems learning how to use Monday.com. The menus are so well designed that you can flip between tools and get where you need to be in a click or two. Creating workflows is a cinch with its customizable boards, and thanks to automation templates, teams can create recurring tasks easily. If you do get stuck, fear not. I have interacted with Monday.com’s service team many times and I’ve always been impressed with the speediness of their replies.

In addition, Teamwork.com offers a full suite of resource management and accounting tools that allow marketing teams to keep a watchful eye on employee workloads and project spend. These tools allow you to invoice clients, track time and billable hours and set rates for social media, print, video and ad campaigns.

Teamwork.com is the only other project management suite that matches monday.com when it comes to design and ease of use. The interface is pleasing to the eye and enables rapid navigation. The workflow tools can be customized to your liking quickly, integrations and automations can be configured without fuss, due to nicely designed tools, and the collaboration features, such as the image proofer, allow team members, clients and stakeholders to collaborate efficiently. If not for the price, Teamwork.com would sit higher in this roundup.

SMB owners and project managers have many positive things to say about Coda. Many users love its flexibility and functionality, customization and integration capabilities and its collaborative nature, which makes many compare it to Notion. Users also appreciate its ability to handle large datasets and complex formulas like rival platform Airtable. However, as I have mentioned, some users find Coda difficult to get to grips with and cite performance issues on mobile devices. Still, the overall sentiment is largely positive.

I won’t sugarcoat things. Unless you have time to learn how to use Coda, it’s probably not the platform for you. Having a blank canvas to create a workspace can be overwhelming. If you’re a project manager or scrum master who likes the simplicity of Kanban and scrum boards and the project visualization they provide, Jira could be the perfect software for you. Jira’s boards can be customized to work with simple or complex workflows, task cards can be loaded with as much or as little detail as needed, files can be attached to cards and comments can be left for team members quickly. Other tools, such as backlogs, timelines, and calendars, are also available to help you stay organized and on time.

While Jira doesn’t offer any collaboration tools, it does integrate with Confluence. Teams can use this integration to produce marketing plans and project documents. The paid plans work on a sliding scale. The more users, the cheaper it becomes. One big difference between the likes of monday.com, Teamwork.com and Jira is that Jira’s user interface favors function more than form. While bland, I will say that every tool and menu is functional and gets the job done. Perhaps one of the biggest issues new users will face is the terminology used throughout Jira. The software is generally used by those working in software development and who use the scrum framework, so unless you’re familiar with scrum terms, you may get confused. Still, Jira’s project templates for marketing can help ease the sting.

Asana is another fine project management software solution that can help teams manage everything from tasks to resources and finances, thanks to its robust suite of tools and templates. All of the usual suspects are here, including boards, Gantt charts, lists and calendars. What sets Asana apart from others is its 100-plus native integrations. Users can connect Asana to Canva and Figma to design and embed assets, Mailchimp to manage email marketing campaigns and Campaign Monitor to automate the creation of new marketing tasks.

Additionally, Asana offers a robust messaging system to help teams stay in touch, an easy-to-use proofing tool that allows teams, clients and stakeholders to approve or comment on work, and collaborative notes. Asana’s feature set earned it a place on my roundup of the best task management software, but its pricing may put off some SMBs. Asana offers a great free plan that supports 10 users and unlimited projects and tasks, but its paid plans are costly, ranging in price from $13.49 to $30.49 per person when billed monthly.

Those working on projects appreciate what Asana brings to the table. Its versatile feature set is lauded, as are its user-friendly interface and ability to handle tasks and projects. However, there are numerous complaints that I agree with. Some users feel that customer service levels are inadequate and that account management challenges detract from the experience. The cost of the platform has also been called out, with many feeling that Asana is cost-prohibitive for smaller teams.

I have used Asana many times to plan simple jobs to complex, large-scale projects, and I have always found it intuitive and easy to use. Navigation is a breeze, creating automations takes no time with the included builder and the messaging inbox makes communication manageable. Asana’s more recent additions, such as the collaborative notes, could be better, though. They lack features compared to those in competing products, such as ClickUp, but they get the job done. Overall, teams won’t run into problems when implementing Asana.

Depending on client demands, you may find yourself in a situation where your workflow is anything but normal. This is where customizable workflows come into play. Airtable’s interface designer allows teams to alter fonts, column widths, set filters, create pages with a page designer and add reports, Kanban boards, Gantt charts, lists,  image and video attachments. In no time, you can share the information your team needs to get their work done. Whether you work in marketing, sales, construction or IT, you can make Airtable work for you.

Airtable’s other trick is relational databases, which can help align teams across departments. One area where Airtable is lacking is in integrations;  it offers under 30 of them, but you can link the platform to many social media sites. Automations are also supported. Airtable offers a free plan that supports five users, 1GB of attachments and 1,000 records per base (workspace). Unfortunately, paid plans are spendy and range from $24 to $54 per user when billed monthly.

Given the amount of customizations available, Airtable is as simple or as complex as you make it. However, out-of-the-box Airtable does have a steep learning curve. The interface designer’s options will overwhelm, and the page designer will take time to learn. Basic tools such as boards and Gantt charts are smooth enough to use, though, and uploading files and documents is straightforward. If you want to get the most out of Airtable, ensure you have the time to get stuck in or to hire a change manager to ease the transition to new software.

Over the years, Smartsheet has transformed from a spreadsheet-forward work management solution designed for complex projects in finance to a platform that can support workers in a variety of industries, including marketing. The spreadsheets are still present and are as powerful as ever, but now, you’ll also find Kanban boards, Gantt charts, a proofing tool, dashboards for reports, integrations and even automations and AI.

I believe Smartsheet is one of the best tools for teams who handle complex datasets and projects, however, it’s not the the most intuitive software you’ll ever use and, despite it looking affordable on the surface, Smartsheet can become expensive due to paid add-ons for tools that other platforms include in their plans, such as a digital asset management system, a resource management tool and calendars. Paid plans range from $12 to $24 per user per month. There are also two plans for large organizations, but you must contact Smartsheet for a quote.

Despite Smarthsheet trying to be everything to everyone, it is still a spreadsheet-forward platform. As such, unless you are comfortable using spreadsheets and formulas, it may not be for you, even though it offers Kanban boards and Gantt charts. Navigating Smartsheet is fine. The menus are well labeled and tools are placed logically. The AI assistant can help create content and formulas, which does make things a little easier, but unless you need spreadsheets with linkable cells for complex datasets, you’ll be better off with a platform such as ClickUp.

If you’re a solopreneur or a small marketing team that dabbles in simple marketing projects, Trello may be for you. This Kanban-forward software allows project leads to create and visualize marketing campaigns from start to finish. Trello’s task cards can be customized with colors and upgraded with custom fields galore. Users can also attach files, documents and links, and leave task descriptions and comments. Trello does offer dashboards, calendars and Gantt charts, but the charts are feature-lacking and don’t bring much to the table. Still, they’re nice to have.

I have always found Trello very straightforward to use. Even those who have never used a Kanban board will be able to create workflows quickly. Leaving comments is as easy as mentioning a user, and customizing your workspace takes just a few seconds. The only tool that may pose a problem is the automation builder, which uses an archaic and often confusing interface. Overall, Trello is painless to use.
