I find ClickUp pleasant to use. Its customizable Kanban boards allow you to quickly add assignees, due dates, custom fields and attach files. All of ClickUp’s other task views, such as its to-do lists, calendars and Gantt charts, work as you would expect, too. Creating recurring tasks is also painless with its slick automation builder. While ClickUp is easy to navigate, it’s not as aesthetically pleasing as monday.com and Teamwork.com, and some advanced tools, such as mind maps, can be tricky to use. Still, teams will be able to hit the ground running.

I have used monday.com for years due to its beautiful interface, integrations and collaborative tools, which now include real-time documents. However, the stars of monday.com’s show are its dashboards and easy-to-use task management tools, which include some of the best Kanban boards, powerful Gantt charts, calendars and to-do lists, all of which can be customized, color-coded and filtered. You can attach files to tasks, add assignees and due dates, leave comments, set priority levels and add AI-generated task updates.

Users can also take daily, weekly and monthly chores off their plates with monday.com’s recurring task and automation builder. Those new to task management software will also appreciate the myriad project and task templates that can be customized and up and running in a jiffy. Unfortunately, monday.com’s free and Basic plans are quite poor, but the Standard and Pro plans, which cost $14 and $24 per user per month (billed monthly) respectively, offer some of the best value in the task management software space.

In my opinion, monday.com is the most user-friendly task management software available. Not only does monday.com look fantastic, which makes it enjoyable to use, but it’s easy to navigate due to its well-placed menus. Its tools run smoothly in desktop and mobile applications, and advanced tools, such as collaborative docs and whiteboards, take no time to master. The sheer number of project and task templates will help new teams soar to great heights. It’s just a shame that its free and entry-level plans are poor compared to ClickUp’s.

Teamwork.com is ideal for those wanting to lean on recurring tasks and automations. I have used many task management platforms and can say that Teamwork.com’s automation builder is by far the best. It comes loaded with pre-made templates, or you can use the graphical interface to insert if-this-then-that statements to create event and time-based automations. Additionally,  its task tools, which include Gantt charts, lists, calendars, boards and custom fields, make managing hundreds of tasks with attachments and multiple assignees simple.

Teamwork.com is similar to monday.com in that it offers integrations, messaging, resource management tools, collaborative docs for creating wikis and project scopes and AI that can help reduce waste and increase productivity. The biggest issue is the cost. The free plan landed Teamwork.com in my roundup of the best free project management software. Teamwork.com’s tools and interface are excellent, but the paid plans, in my opinion, are overpriced. They cost between $13.99 to $69.99 per user per month (billed monthly), which will scare many SMBs.

While designed for software development, Jira is suitable for agile projects in many industries, including healthcare, manufacturing, HR, sales and operations. It offers numerous project templates, customizable Kanban boards and scrum boards that support story points, file attachments and custom fields, backlogs, timelines, calendars, numerous recurring tasks, automations and thousands of integrations.

For example, you can create definition of ready (DoR) and definition of done (DoD) documents and attach them to user stories. Jira offers one of the best free plans and affordable paid plans. The first thing that teams will notice about Jira is that it’s not the easiest software to use. The software is littered with complex terminology that only those used to the scrum framework will understand. Still, if you spend the time learning Jira, you will be rewarded. The interface isn’t pretty, but for the most part, I found navigation to be just fine, and the tools, such as the boards and timelines, work flawlessly. Setting up automations can be a little challenging, but I don’t think teams will have too many problems getting the most out of Jira.

As tasks are being worked on, the entire team can collaborate on real-time documents. What makes Coda unique is that all of the tasks, documents, and reports you need are located in one work hub or space, meaning every team member is literally on the same page. Coda also supports task attachments, automations and integrations with third-party and artificial intelligence tools.

Another unique feature of Coda is its pricing structure. SMBs only pay for document makers, meaning all document editors are free. This is perfect for small businesses with limited software budgets. As much as I personally like Coda, I won’t lie; the platform has a steep learning curve that may put off those new to task management software. Coda’s use of one space to house all task tracking tools, reports and documents takes some getting used to. However, once you learn the lay of the land and figure out how to build a custom work environment, the power of Coda’s collaborative workspaces becomes apparent. If you spend time with Coda, you may find it hard to go back to more traditional, siloed task management tools.

No list about task management software would be complete without Asana. This beautifully designed platform offers Kanban boards that can be customized, color-coded and filtered. Task cards can hold a wealth of data thanks to custom fields and attachments. Asana’s Gantt charts are visually pleasing, and its lists and calendars help users stay on top of tasks. Also, teams can collaborate on live project notes, and with over 100 native integrations, it’s easy to create cross-platform automated workflows and recurring tasks.

Asana is also one of the most secure task management platforms. It’s HIPAA compliant and offers myriad privacy and security features, making it ideal for larger teams. The biggest downside to Asana is the price. While not as expensive as Teamwork.com, it’s still pricier than most. It does offer one of the better free plans, though. It supports 10 users and offers unlimited tasks and projects. Its paid plans range from $13.49 to $30.49 per user per month. There are also Enterprise and Enterprise+ plans for those needing extra security features.

After monday.com and Teamwork.com, I think Asana is the best-designed task management software. Its colors and stylings are not quite as in-your-face as the two dot-com tools, but they are still pleasing. Navigation is simple thanks to well-designed menus, task management tools require little effort to use on web, desktop and mobile apps, and creating integrations and recurring tasks takes seconds. Some tools, like the notes and proofing tools, could be a little more user-friendly, but overall, there’s nothing overly complex about Asana and its features.

If you’re old-school cool and prefer spreadsheets over boards, Smartsheet could be the right choice for you. The spreadsheets in Smartsheet are mighty powerful and can do far more than those found in Google Sheets and Microsoft Excel. You can add attachments to cells, leave comments with ease, link cells across sheets and plug in formulas if that’s more your style. While Smartsheet is spreadsheet-forward, it does offer Gantt charts and Kanban boards for task management, but they aren’t as fleshed out as those in competing platforms.

Whether you’re new to task management software or have been around it for a while, you won’t face many problems while using Smartsheet. A navigation panel makes jumping between tools and security settings on the back end easy. Its Kanban boards and Gantt charts are usable, but they aren’t as robust as those found in ClickUp, so if you value agile ways of working, I’d look there; however, the spreadsheets shine bright. While they do have a learning curve, there’s no denying they are one of the most potent task management tools one can use.

I have used this platform extensively to manage simple and complex projects, and I have always been thrilled with its features. All the usual task management tools are here. You’ll find customizable calendars, lists, Kanban boards and Gantt charts, which support attachments, custom fields, dependencies and subtasks. Zoho Projects supports sprints, too, making it ideal for scrum teams.

You can also create automations, configure third-party integrations and use an instant messenger to chat with team members. I really don’t have anything bad to say about Zoho Projects, other than the interface could use a touch of paint. It looks tired compared to monday.com and Teamwork.com. Otherwise, there’s nothing complicated about Zoho Projects. All tools use a simple drag-and-drop mechanic, attaching files, leaving comments, adding due dates and assigning team members to tasks is straightforward. There’s a reason why Zoho Projects sits on our list of the best Gantt chart software. If you need to manage tasks on the cheap, Zoho Projects is for you.

If you’re willing to put the time and effort into learning the ins and outs of Airtable and its design tools, you can create a workspace that, in time, will drastically improve your productivity. If you can grasp the fundamentals of Airtable, you can create a task management system that will blow your mind; you just have to want it enough.

Notion is an interesting tool. Originally developed as a note-taking app, it has morphed over time into a full-blown task and management platform. As you’d expect, its collaborative docs are outstanding, easily besting those from ClickUp. However, in my opinion, its task management tools are good, but not great, at least not yet. They’re functional, but they feel lacking compared to those in competing platforms. If you dig Notion’s minimalist style, need collaborative docs and are fine with just OK task management tools, you’re in business.
