I can think of no better alternative to Notion than ClickUp. Not only does ClickUp provide its users with collaborative documents that match Notion’s in terms of functionality, but it also offers all the features needed to use multiple project management methodologies and frameworks. No matter whether the Critical Path Method and Waterfall, or Agile frameworks such as Kanban and Scrum are your cup of tea, ClickUp has you covered.

ClickUp is loaded with customizable tools, including Gantt charts and Kanban boards, that support dependencies, subtasks and sprints. Lists and calendars are there, too. You can upload supporting documents, create recurring tasks and automated workflows with integrations, and collaborate with team members on documents, whiteboards and mind maps. ClickUp also provides users with one of the most complete chat tools available, AI, portfolios, detailed reports, and time and resource management tools. It’s safe to say that ClickUp is loaded.

While it’s true that ClickUp and Notion have much in common, ClickUp offers more tools, more integrations and more advanced project management features, and it is far easier to use. While Notion is more than capable of displaying project metrics, nobody does key performance indicators better than monday.com. Everything about monday.com is polished to an ultra-bright sheen. The project management tools include multiple workflow views (Kaban, Gantt, list, calendar, map and chart), resource management tools, custom fields, a slick automation builder, integrations, collaborative documents, whiteboards and over 200 project templates. All of these features are intuitive due to great design, and the interface is straightforward to navigate.

The dashboards found on monday.com are the best in the industry.

One of monday.com’s stars is the dashboards. I found it easy to add and resize widgets that display pie charts, bar graphs, calendars, due dates, financial data, employee workloads, project countdowns, daily quotes, road maps and a llama farm. Yes, you read that right. The Llama Farm is a fun widget that features llamas that change color depending on the status of their associated goal. Is it necessary? No. Does it add fun to the workday? You bet it does!

The collaborative documents on monday.com aren’t as powerful as those in Notion, but they get the job done.

Here’s the kicker about monday.com. Its free plan is just as bad as Notion’s free plan. The monday.com Basic plan, which costs $12 per person per month (billed monthly), is also terrible and should be ignored, as it offers little to no value. However, monday.com’s Standard and Pro plans offer tremendous value at $14 and $24 per person per month (billed monthly). Just keep in mind that each plan has a three-user minimum when you’re counting your SMB’s pennies.

Notion is a capable platform when it comes to automations and provides users with over 50 automation templates. However, Teamwork.com is the platform I would recommend to any project manager who relies heavily on automated cross-platform workflows and recurring tasks. The automation builder on Teamwork.com is so user-friendly that even first-time users won’t run into problems. You can choose from many premade automation templates and create your own time-based and event-based automations quickly with the tool’s graphical user interface.

Aside from Teamwork.com’s automation capabilities, you’ll find integrations galore, Gantt charts, lists, Kanban boards, tables and support for dependencies, subtasks, goals and milestones. Additionally, Teamwork.com offers timesheets, invoices, budgeting tools, resource and time management features, collaborative documents, chat and proofing tools, and many detailed reports. Teamwork.com is a one-stop shop for all things project management. The tools are easy to use, and the platform is a cinch to navigate. There’s just one caveat: the price.

Teamwork.com offers a decent free plan that supports five users and numerous tools, and four paid plans. The first three plans, Deliver, Grow and Scale, cost $13.99, $25.99 and $69.99 per person per month, respectively (when billed monthly). Coda and Notion are similar and should appeal to the same type of SMBs; namely, those working in marketing, content creation, sales and engineering. The reason for this is that both platforms focus heavily on collaborative documents that teams can produce in real time. Need to brainstorm an idea, create decision trees, wikis and meeting notes? No problem. What makes Coda different, though, is that instead of just offering collaborative documents, the whole workspace is collaborative.

Instead of having different silos for Kanban boards, Gantt charts, tables, reports and anything else you can think of, everything lives inside one huge, customizable workspace, or hub as Coda calls them. At first, it’s confusing because there’s a lot of information on one screen, but it quickly becomes easy to manage. Coda offers task management tools and powerful AI that can create content and generate insights from data. You’ll also find automations, integrations, reports, numerous templates, file storage, forms, version histories and many security options.

Regarding pricing, Coda is unique. Instead of paying for every user, you only pay for document makers. Other users or editors are free. Coda offers a very respectable free plan that supports one doc maker and unlimited editors, though there are some tool restrictions. Each additional doc maker ranges in price from $12 to $36 per month, depending on your chosen plan. Coda also offers a customizable Enterprise plan for those needing extra security.

Configuring integrations is as simple as selecting the platform and logging in. In minutes, you’ll be ready to make cross-platform automations.

Like the other Notion alternatives, Asana offers collaborative notes. They aren’t as robust as those found in competing platforms but still get the job done. Asana also provides users with AI, unlimited file storage, comments, tasks, assignees, custom fields, time tracking, proofing tools, detailed reports, due dates and projects, mobile and desktop applications, portfolios that let you organize multiple projects, workload management features, and an extensive list of security, privacy and user controls that can help keep your data secure.

Asana’s collaborative notes are relatively new and aren’t as robust as those found in Notion.

Asana isn’t the most competitive regarding value. There is a surprisingly good free plan, which supports 10 users and unlimited tasks, projects, comments and a few views. However, the paid plans are costlier than those found in ClickUp, monday.com and Coda. The Starter and Advanced plans cost $13.49 and $30.49 per user per month when billed monthly. There are also two business-focused plans, Enterprise and Enterprise+, for those needing advanced reporting and security. Each plan also requires two users. So keep this in mind when planning finances.

What To Look For in a Notion Alternative

Moving from one project management tool to another can be quite stressful, especially when leaving a platform such as Notion, which has many bells and whistles. When shopping around for a Notion alternative, ensure that the tools and features listed below are available.

  • Collaborative documents: Moving from Notion to a project management tool without collaborative documents will be jarring. All the platforms listed above offer collaborative notes or documents, but if another platform outside of this list catches your eye, ensure they are offered.
  • Task management tools: A project management tool without Kanban boards, lists, calendars, boards and sheets is dead in the water. Pay close attention to providers during any free trials they offer and make sure that all the workflow tools you need are available.
  • Artificial intelligence: Notion has one of the most powerful AI assistants I have used, so it would be difficult to transition to another platform that is missing this feature. ClickUp, monday.com, Coda, Teamwork.com and Asana’s AI tools are good alternatives.
  • Reports and dashboards: Being able to see important project metrics at a glance is crucial, especially if you want to stop scope creep in its tracks. In my opinion, if reports are important to you, look closely at monday.com, ClickUp and Asana, as they offer excellent dashboards with plenty of insights.
  • Automations: Automations can help save you time, reduce errors and save money. If you want to run a Lean team, check out Teamwork.com, monday.com and Asana first, as they offer the easiest-to-use automation builders.
  • Integrations: You want to ensure that any project management tool you choose can play nicely with the software your SMB already uses. Do your due diligence and check each provider’s website to ensure your current platforms are supported.
